Here are some of the features and functionalities of All Records:
- Total Count of Records:
- Users can now see a total count of records for each entity.
- This allows for easy verification of data syncs, for example, comparing the number of job orders in the system with those in the ATS to ensure a correct sync before launching a workflow.
- Viewing All Synced Entities:
- The platform now allows users to view all synced entities, including standard entities like Candidates, Leads, and Opportunities, as well as custom entities like Job Order or Custom Location.
- A dropdown menu is available to select and switch between different entities.
- Expanded Search Functionality:
- Users can search for any column data, such as name, number, email, or title, across all available columns.
- This is a significant improvement, as it addresses a previous pain point where users needed to know a specific person to find associated applications or placements; now, applications or placements can be directly looked up.
- Entering a Record and Viewing Details:
- Clicking on an External ID in the "All Records" list will open the detailed view for that specific record.
- The top section of the record detail view prominently displays the record's name, ID, main phone number, and email.
- Sense Data Tab - Record Details:
- Null Values: Null values are hidden by default, but users can choose to "View null data?" by clicking the corresponding option.
- Sorting Data: Data within a record can be sorted by categories such as:
- IDs: Record ID and associated IDs (e.g., owner ID, job_order_id)
- Date: Any date fields (e.g., Dateadded, datelastmodified, startdate)
- Contact: Phone numbers and emails
- Personal: Name fields
- Other: Remaining fields
- Sync Date and Time: A critical new feature is the visibility of the date and time when a specific record was last synced to Sense. This information is crucial for troubleshooting data tickets, helping users and support staff quickly verify when data was last updated from the ATS.
- Associated Entities Tab:
- This tab displays any other records that are linked to the current record by ID.
- For a Candidate record, it will show associated Applications or Placements that share the same candidate ID.
- Communications Tab:
- This section shows J1 meta information and provides the option to view Chatbot responses.
- "J2" functionality is noted as "coming soon".
- Metrics displayed include Sent Messages, Scheduled Messages, and Last NPS.
- Subscriptions Tab:
- This tab displays Sense opt-in and opt-out information for email and SMS.
- Admins can override opt-in logic for a contact directly from this page.
- Notably, ATS opt-ins and opt-outs being respected are not visible on this page.
- Deep Diving into Related Records:
- Users can click on the ID of an associated entity (e.g., a Submittal ID under "Associated Entities") to view that record's data.
- This functionality allows users to explore data relations as deeply as the available IDs permit, navigating through interconnected records.
- The browser back and forward buttons can be used to return to previous views.
