Overview
Scout is Sense's self-service analytics workspace where you can build custom dashboards from your Sense data, so you can track the recruiting metrics your team cares about instead of waiting for a pre-built report.
Scout sits alongside, not in place of Sense's existing Pre-built Dashboards, which still work exactly as before. Scout is the new, additional option for building your own.
Before You Start
- Scout access is enabled for your agency. If you don't see it under Analytics & Data, contact your Sense representative.
- Permissions to create dashboards. Viewing and building dashboards require different permission levels — see Permissions below.
Permissions
Dashboard and report access is controlled per role, under Configuration > Accounts > Roles, using the Scout permission setting:

Note: Only your Admins have the full Delete, Create, View Reports & Dashboards permission. Everyone else who just needs to see dashboards has the View permission.
How It Works
Scout organises your analytics into two tabs:
- Reports: A searchable library of individual report widgets (KPI tiles, charts, and tables). Each entry shows who created it, its product area, whether it's currently used in a dashboard, and when it was created.
- Dashboards: Named collections of report widgets that you arrange together. Build as many custom dashboards as you need, each with its own name, layout, and date-range filter.
Reports tab
Reports tab is a searchable library of individual report widgets (KPI tiles, charts, and tables). Each entry shows who created it, its product area, whether it's currently used in a dashboard, and when it was created.
Reports themselves are authored by Sense's analyst and engineering teams and published to your Reports library either to specific agencies or, for reports every customer should have, globally. You choose from what's available in your library rather than building a new report type from scratch. If you need a report type that doesn't exist yet, ask your Sense representative.
Dashboard tab
The Dashboard tab contains a named collection of report widgets that you arrange together. Build as many custom dashboards as you need, each with its own name, layout, and date-range filter.
When you add a report to a dashboard, it becomes a Widget. Widgets can be reordered, edited, or removed independently, and the whole dashboard shares a single date-range filter (for example, Last 7 Days) that applies to every widget.
Example: If you use AI Recruiter, Voice, and Chatbot, you don't have to check three separate pre-built dashboards to see how each is performing; instead, pull the specific metrics you care about from each into one custom dashboard in Scout.
Creating a Custom Dashboard
You can follow the steps below to create a custom dashboard:
- Go to Analytics & Data > Scout > Dashboards tab.
- Click Create. Your new dashboard opens as Untitled Dashboard.
- Select the title (or its dropdown) to give it a descriptive name.
- Select + Add Report to open the report picker.
- Search or browse reports by category, then click Select next to each report you want to add. Turn on Hide reports already added to avoid duplicates. This opens a Preview & Filter Data screen with a live preview of the widget and a Configuration panel.
- From here, rename the widget's Title, choose its Icon, and set a Semantic color (Neutral, Success, Information, Warning, or Danger) to color-code the tile.
- Click Add Report to confirm, or Cancel to back out.
- Repeat step 5 until you've added every report you need, then close the panel to return to your dashboard.
- Drag a widget by its handle to reorder it on the dashboard.
- To change a widget after adding it, select the ⋮ three-dots menu on that widget and choose Edit widget or Remove widget.
- Set your preferred date range from the dropdown in the top right (for example, Last 7 Days).
- Select Save & Publish.
Exporting and Scheduling Reports
You don't have to build a full dashboard just to get a single report. From the Reports tab, individual reports also support:
- Export — download the report's current data on demand.
- Schedule — set up a recurring delivery (for example, weekly or monthly) without adding the report to any dashboard.
This is the faster option when you just need one number or table regularly, rather than a full custom view.
Expected Result
Your dashboard now appears in the Dashboards tab, listed by name, creator, and last-modified date. Anyone with View permission can open it; anyone with Create/edit permission can reopen and update it at any time. Users with only View permission see a read-only view of the dashboard rather than the edit interface.
Important Notes and Limitations
- New report types are added by Sense's analyst/engineering teams, not by individual customers; you build dashboards from what's in your Reports library.
- A widget shows 0 or N/A when there's no matching activity in the dashboard's selected date range. This doesn't necessarily mean it's misconfigured.
- Deleting a dashboard requires the highest permission level (Delete, Create, View Reports & Dashboards).
- Reports made available only to specific agencies won't appear in every customer's library — this is expected, not a bug.
Troubleshooting
I don't see a Create button on the Dashboards tab. Your role likely has view-only access. Ask your Sense Admin to grant Create and View Reports and Dashboards (or higher) under Configuration > Accounts > Roles.
A widget shows 0 or N/A (no data). Check the dashboard's date-range filter — the widget may simply have no matching activity in that window. Try a wider range.
I can't find a specific report when adding one. Use the search bar in the Add Report panel, or browse by category. If it still doesn't appear, it may not be published to your agency yet — check with your Sense representative.
FAQs
What's the difference between the Reports tab and the Dashboards tab? Reports is a library of individual widgets (KPI tiles, charts, tables). Dashboards are named collections of those widgets that you arrange and publish together.
What's the difference between Scout and BYOD? Scout is the product name you'll see in the app. BYOD ("Build Your Own Dashboard") is the underlying concept and internal name for the same capability — building your own reports and dashboards instead of using only pre-built ones.
Is Scout the same as the Talent Engagement ROI dashboard? No. Talent Engagement ROI is a specific pre-built dashboard that Sense builds and maintains (using this same underlying technology) and is available under Pre-built Dashboards. Scout is the general capability you use to build and customize your own dashboards from any report in your library.
Can I edit a dashboard after publishing it? Yes. Reopen it from the Dashboards tab, add, edit, or remove widgets as needed, then select Save & Publish again.
Who can create a custom dashboard? Any role with Create Reports and Dashboards (or higher) permission under Scout.
