Overview
Lists are dynamic audience segments that you can define using specific criteria. Think of them as filters you can easily apply when building journeys, workflows, or using pages.
Lists can be in five states:
Draft | The list is only visible to the creator. |
Ready to Use | The list is available for use in any resource. |
In Use | The list is currently mapped to at least one active resource. |
Building | This is the process between a published list and a live list. |
Archived | The Lists that are currently not in use. |
Benefits of Lists:
Here are some of the benefits of lists:
- Save Time: Quickly build targeted journeys by reusing pre-defined audience segments.
- Reusability: This can be used in Journeys, Workflows, and other products.
- Increase Efficiency: Manage audiences in one central location.
Dashboard
The Dashboard allows you to view, search, and create lists. Navigate to the People > Lists.
Here, you'll find an overview of all your lists, including:

List Name: Name you assigned to the list.

Count: Total number of people on the list.

Focus Entity: Type of data the list is based on (e.g., Contacts, Leads).

Mapped Resources: Number of resources currently using this list.

Status: Draft, Ready to Use, In Use, Building, or Archived.

Created By: Displays the username or email of the person who created the list item with the respective security group.
- Last Updated: Indicates the time since the last update, displayed in the format of hours, days, months, or years. The default sorting order is based on the last update, making it easier for users to access the most recent changes.
Three-Dot Menu Actions
The three-dot menu allows you to perform the following actions:

View Details: Opens the list preview page, allowing you to see more information about a specific List, such as name, owner, focus entity, etc.

View/ Edit Rules: See or modify the existing rule(s) of the List.

Duplicate as New: Creates a copy of an existing List.

Archive: Allows you to archive a list for future reference. The Archived list has two options– view and unarchive.

Delete List: Allows you to permanently delete a list.

Publish: This option allows you to publish the list. It appears only when the list is in Draft status.

Search Lists and Filters
Use the Search bar to quickly find a specific List by its name. Simply enter the name of the List you're looking for, and the results will update dynamically.
Narrow down the list view by selecting specific Entities or Status from the dropdown menus. Choose the entity type (e.g., Contacts, Leads) or status (Draft, In Use, Ready to Use) to focus on the most relevant Lists for your current task.
Bulk Actions
With Bulk Actions, you can perform actions on a list such as bulk delete, archive, unarchive, and move the select lists to another existing category. This helps streamline the workflow for handling multiple lists.
The bulk actions bar appears at the bottom when you select a list on the Lists page.
Bulk Delete
Lists that are eligible for deletion can only be deleted in bulk.
Note: Lists, once deleted, cannot be retrieved.
Bulk Archive:
Lists that are eligible for archiving can only be archived in bulk.
Bulk Unarchive:
In the same manner, as described earlier, the bulk unarchive functionality allows users to seamlessly restore multiple archived lists in a single operation.
