You can create a new talent pool anytime by navigating to People > Talent Pools and selecting + Create Pool.
Creating a New Talent Pool
There are two primary types of Talent Pools:
- Dynamic Pools (with Rules): These pools automatically add candidates who match a set of predefined rules. These pools also enable the "Sense Suggested" feature, which identifies and recommends new candidates.
- Static Pools (without Rules): These pools are manually curated. You must manually add or remove candidates.
Here's how to create a new pool:
- Navigate to People > Talent Pools on the left-hand navigation pane.
- Click the + Create Pool button on the top right.
- Fill in the required Pool Details:
- Pool Name: A descriptive name for your pool (e.g., "CGI Campus").
- Description: Explain the purpose or criteria of the pool.
- Who can access? (Members): Select the users or security groups that will have access to this pool.
- Optional, create a Dynamic Pool, in the Setup Rules tab, and enable the Enable Auto Update toggle. Then:
- Add rules based on candidate attributes such as job title, location, experience, and skills.
- Candidates who match these rules will be automatically added to the pool.
Static Talent Pool:

- Click Next to create the pool.
Once a pool is created, you can manage the candidates within it. Click on a specific Talent Pool in the table to open it.
You will see a list of candidates. If it's a dynamic pool, the Sense Suggested tab will display candidates who match your rules but haven't been added to the pool yet.
You can view candidate profiles by clicking on their name, which will open up their full CRM profile.
Creating Folder(s) within a Talent Pool
You can create folders to further subdivide and organize candidates within a pool.
- Inside a Talent Pool, click the + Create Folder button.
- Provide a name for the folder and specify the access permissions. Users who have access to the Pool will automatically have access to the folder as well.
- If the pool is dynamic, you can set additional rules for the folder. The rules settings don’t appear if it's a static pool.
Note: The folder's rules are always a subset of the parent pool's rules. - Click Create Folder to save.
This process is the same for both dynamic and static pools.
Adding Candidates to a Talent Pool
To add a candidate to the pool, perform the following steps:
- Go to the Talent Pools page and click on the pool you want to work with.
- On the left, click on the specific folder where you want to add the candidate.
- Look for the + Add Candidates button in the top right and click it.
- A window will pop up showing all your candidates. Use the search bar to find the ones you need and check the box next to their names.
- Click the Add button to put the selected candidates into the folder. They will now appear in your list.
Bulk Actions
When you select one or more candidates from the list, a bar appears at the bottom of the screen, providing a list of bulk actions. Clicking the three-dot icon on this bar reveals a menu of additional options:
- Send Mail / Send Message: Quickly send emails or messages to the selected candidates.
- Add tags: Apply tags to the selected candidates for further categorization.
- Add to Job: Directly add the selected candidates to an open job requisition.
- Move to another Folder: Transfer the selected candidates to a different folder within the same Talent Pool.
- Copy to another Folder: Create a copy of the candidates in a different folder, allowing them to exist in multiple places simultaneously.
- Remove from Folder: Remove the selected candidates from the current folder.
Integrating Talent Pools with Workflows
Talent Pools are deeply integrated with the workflow automation feature, allowing you to trigger actions based on pool membership.
When creating a workflow, an option for talent pools will appear as the third option.
Note: Talent Pools will only work if Candidate Application or Candidate is chosen as the Focus Entity. If neither of these two entities is selected, the "talent pools" option will not show in the next step of the workflow
- Navigate to Workflows from the main menu.
- Click + Create Workflow.
- Provide a Workflow Name and select a Focus Entity (Candidate or Candidate Application).
- Click Save and Proceed.
- In the workflow builder, you can set a trigger condition based on Talent Pool membership. This allows you to automate actions like sending a welcome email when a candidate is added to a specific pool or a follow-up campaign when a candidate is moved to another folder.
Integrating with Candidate Profiles
You can add or remove candidates from Talent Pools directly from their individual candidate profile page.
- Go to the Candidates page and click on any candidate to view their profile.
- On the candidate's profile, a dedicated Talent Pool tab will be available.
- Click this tab to see which pools and folders the candidate is a part of.
- You can add or remove the candidate from pools by clicking + Add to / Remove from talent pools and making your selections.
Note: Manually adding a candidate to a pool will override the pool's rules, ensuring they remain in the pool even if they don't match the criteria. Similarly, manually removing a candidate will prevent them from being automatically added back by the rules.
Limitations
Candidate Filters: The ability to filter candidates based on Talent Pool membership directly on the main Candidates page is not yet implemented.
