Candidate Matching and Outreach
Overview
The Active Jobs page provides Sense Admins and Recruiters a view of their agency's active job postings.
This page is also available through the Sense Chrome Extension for easy access by recruiters.
Core Capabilities and Access
This page displays the list and count of active jobs in your agency after you are onboarded to AI Recruiter. These displayed jobs reflect the rules you provided during onboarding; closed jobs do not appear here.
Sense Admins use this page to view the active jobs and the rules governing them. Admins identify the fields they can modify in their Applicant Tracking System (ATS) to make a job Active in Sense.
Viewing and Controlling Logic
-
View Logic: Click the Active Job Logic button to view the rule Sense uses to select jobs. For instance, a rule might require the job status to be 'open' and the 'Publish Job' field to be true.
-
Filtering Jobs: By default, the system enables the Show My Jobs setting, ensuring primary recruiters see only their owned jobs. Sense syncs the logged-in user’s ATS ID to show the jobs they own in the ATS. You disable this function if you want to view or work on other jobs.
- Modifying Rules: The Active Jobs page currently does not allow customers to modify active job rules directly. You request modifications to active job rules through the customer support team or customer success managers.
Candidate Matching and Outreach
The Active Jobs page helps recruiters find relevant candidates for open jobs.
-
View Candidates: Click into a job to view up to 100 relevant matching candidates. For each candidate, you review additional details such as ID, location, and experience.
-
Candidate View: Click the candidate card to open a panel on the right side. This panel provides details such as the candidate's last title. You also copy their email address and phone numbers from this view.
-
Outreach: You reach out to candidates from this view, either 1-1 or in bulk. Your available options, such as Sense Text Messaging or WhatsApp Messaging, determine whether you see the options to connect with candidates over text or WhatsApp. You send broadcast or WhatsApp messages when performing bulk actions.
Managing Permissions
Ensure you set permissions correctly for different user groups in the agencies after you enable this page.
- Admin Access: Setting the permission to Admin allows users to view the Active Jobs page, the Active Logic button, and the Active Job Logic panel. This access level suits administrators.
- Recruiter Access: Setting the permission to View allows users to view active jobs and matching candidates. This access level suits recruiters.
Active Candidates Management
Active Candidates define a large pool of candidates Sense requires customers to create during onboarding for candidate matching to work. Admin users view and modify the active candidates in their agency on this new Sense page after setup occurs during AI Recruiter onboarding.
Purpose and Logic
- View Pool: This page displays all active candidates and their corresponding counts. The system uses this pool of candidates to find matching candidates for any new job AI Recruiter handles.
- View Logic: Click the Active Candidate Logic button to open a panel and view the active candidate logic. Sense utilizes the Lists capability to create and manage this candidate pool.
Modifying Candidate Rules
This page does not allow customers to set up the active candidate pool for the first time. However, you modify the list logic if you want to adjust the rules of the lists after the initial setup.
- Modify List Logic: Click into the list name displayed in the logic panel to modify the list logic.
- Automatic Updates: Modifying the list logic automatically adds or removes candidates from the active candidates pool.
- Processing Time: This updating process may require 30 minutes to a few hours to complete, depending on the volume of candidates being added or removed from the list.
