Overview
The Payout Policy feature enables users to configure payout rules for referrals within the Referrals product. This document details the configuration process and outlines the steps to define policies based on fields and values within the user's Applicant Tracking System (ATS).
Payout Policy Initial Setup
This is a one-time setup that is done when setting up an agency/organization account. You can configure the payout policy by navigating to Programs > Create Program > Settings and scrolling down to One Time Settings.
Create a Referrer payout Policy
In the Payout Policy section, select the Focus Entity of your choice to map the fields in the form. By default, the Placement entity is selected.
A list of three questions prompts you to map relevant fields from their system to help create the referral policy.
Define the rule which signifies that the referral is hired as per your system:
- You can select the relevant Field Name, Operator, and Value from the dropdown list.
- The Operator field provides several preset options, such as:

is not empty or not null | Value is not required, and the value field is disabled. |
is empty or null | Value is not required, and the value field is disabled. |
contains one of | Allows multiple values separated by commas. |
does not contain one of | Allows multiple values separated by commas. |
- Adding Clauses: You can add multiple clauses by selecting the + Add a new clause. Each new clause is joined with an And condition.
Note: The option to add a new clause is enabled only if the preceding clause is complete.
Define the rule which help us to identify the start date of the referral in your system:
You can either choose to use the same field for both hired status and start date by clicking on Use the rule as created in 1 above or create a new rule.
There are two ways to create a new rule to identify the start date in Referrals program:
- Map a field to get the value automatically: You can select the relevant Field Name from the dropdown list.

- Configure rule:
- Click + Add a new clause, and then define the relevant Field Name, Operator, and Value from the dropdown list.

- In the From the date captured above, add: field, and enter the number of days from start date. This is the offset in days, adjusting the start date accordingly. Only numeric values are accepted.

Is there a policy related to referral completing a defined period of time before being considered for payout:
If you select Yes, you are prompted to define whether the payout period is in days or hours.
- For Days-Based Policies: You must map the field that identifies the end date to ensure that if the end date precedes the payout eligibility, the referral is not eligible for payment. Or, Configure rule by clicking + Add a new clause and then defining the relevant Field Name, Operator, and Value from the dropdown list.
- For Hours-Based Policies: You can map the field to track billed hours or, upload timesheets at regular intervals.
If you select No, it indicates that there is no policy related to referral completion before payout. Payout will be due immediately on the referral’s start date.
