Survey 2.0 introduces a modular, reusable approach to survey configuration within workflows, supporting advanced automation features and improved usability.
Follow the steps below to integrate surveys into your workflows effectively.
Survey Status Requirement
Before attaching a survey to a workflow:
- Ensure the survey is in “Ready to use” state. Only published surveys can be linked to workflows.
- Surveys in “Draft” state are ineligible for attachment.
- If a survey is marked as “In Use”, it cannot be edited further. Only the name can be modified in such cases.
Accessing Workflows
Go to the Automation tab and navigate to Workflows. Select or create a workflow where you intend to use the survey.
Adding a Survey to Email Workflows
Once the email settings are saved, you will be redirected to the email design screen. From here, you can add a survey by dragging and dropping the Survey option available in the email body editor.
- In the workflow editor, locate the Survey icon.
- Drag and drop the icon onto the canvas—similar to chatbot nodes.
- Click the node and configure the survey by selecting the relevant option from the list.
- Entity Restriction: You can only attach surveys that belong to the same entity as the workflow. For example, a candidate workflow cannot use a submittal survey.
- Survey URL: Use this option in email body when reusing a survey from a previous node (e.g., in follow-up messages).
Note: The selected survey will automatically inherit the logo and accent color from the workflow’s brand settings.
Adding a Survey to SMS Workflows
When adding a survey to an SMS workflow, the process varies slightly:
- After specifying basic details (e.g., phone number), proceed to add content.
- You have two methods for including a survey in SMS:
- Survey URL: Use this option when reusing a survey from a previous node (e.g., in follow-up messages).
- Sense Modules: For new surveys, click on Sense Modules and select the desired survey directly.
- Survey URL: Use this option when reusing a survey from a previous node (e.g., in follow-up messages).
Using Survey Responses Within Workflows
Survey 2.0 supports intelligent workflow automation based on user responses:
- Conditional Paths (ABT Events):
- Use “survey responded” (true/false) or “owner responded” as conditions for creating dynamic paths.
- Note Write-back:
- Write back the full survey transcript (questions and responses) to the record.
- The transcript field can be fetched from the previous node context and used in email bodies or updates.
- Unlike the earlier version, this is now optional and must be manually configured.
- Survey URL Reusability:
- The survey URL can be retrieved from the previous node and reused for communication or data updates.
Editing Variables in Attached Surveys
If a survey already attached to a workflow is modified:
- Variable changes may not auto-reflect within the workflow.
- To apply updates, remove the survey node from the workflow and re-add it to capture the latest version.
Additional Notes
- Survey 2.0 supports advanced features such as:
- Multi-level conditional logic
- Text piping between questions
- Flexible question types
- Multi-level conditional logic
- Once a survey is completed via a specific email event, it cannot be filled again from the same trigger.
