The Offer Approval Chain feature in Sense CRM allows you to set up a structured sequence of approvers for every offer letter generated. Much like the Job Approval Chain, this feature ensures appropriate stakeholder involvement in offer decisions, giving you better control over your recruitment process.
Offer Approval Chain
An Offer Approval Chain is a pre-defined set of approvers who must review and approve an offer letter before it is sent to the candidate. This process ensures that offers are validated in accordance with company policies and salary guidelines.
Exceptional Salary Approval
Exceptional Salary Approval is an additional approval step triggered when the offered salary lies outside the predefined salary range set in the job configuration.
- You can enable this step via a toggle while creating or editing an offer approval chain.
- This step notifies designated approvers when a candidate’s offered salary is above or below the configured range (Job > Details > Salary Range).
- Approval logic (i.e., All must approve or Any one can approve) still applies as configured.
This feature is available as an add-on. Please contact your Sense CRM SPOC to enable it.
Configure an Offer Approval Chain
- Go to Configurations > CRM Settings > General Configuration > Offer Configuration > Approval Chain.
- To configure the approval process for the entire organization:
- Click Edit next to the Default Approval Chain.
- Add approvers in the designated section.
- Choose whether all approvers must approve or if any one can approve.
- Choose how approval emails should be sent:
- In sequence (step-by-step)
- All at once (simultaneously)
- In sequence (step-by-step)
- Add additional approval steps as needed using Add Approval Step.
- Set approval rules for each step (all or any).
- After configuring all steps, click Save.
- Click Edit next to the Default Approval Chain.
You can also configure approval chains for specific offices and departments. These settings will override the default chain when a job matches the configured criteria.
Approval Triggers
- If approval is set to All at once, requests go to all approvers simultaneously.
- If approval is In order, approvers in the first step receive the request first. Only after they approve will the next set receive notifications.
- Changing the approval list after generating the offer letter will cancel the original approval flow. You must regenerate and resend the offer.
Configure Offer Approval Chain at the Job Level
If you have permission to edit a job, you can customize the offer approval chain specifically for that job.
This is useful when:
- A specific stakeholder needs to approve offers for a particular job.
- Someone in the default approval chain has left the organization.
Steps:
- Navigate to Jobs and either create or edit a job.
- By default:
- The global offer approval chain is applied.
- If the job matches a configured office and department, that approval chain is used.
- The global offer approval chain is applied.
- If you have edit permissions, you can adjust the chain during job creation.
- Click Done to continue.
Add Multiple Criteria for an Offer Approval Chain
- Go to Configurations > CRM Settings > General Configuration > Offer Configuration > Approval Chain.
- Click Create Approval Chain.
- Enter a name and click Create.
- Add approvers and configure approval order and logic.
- Click Done.
- Click Manage Criteria (new).
- In the pop-up, click Add Criteria.
- Select the desired office, department, and grade from the dropdown and click Submit.
- Repeat steps 7–8 to add additional criteria as needed.
Important Notes
- Existing offer approval chains have been migrated to support the new criteria-based method.
- Department-office-grade combinations must be unique across all chains.
- The Default Offer Approval Chain includes "All Departments - All Offices - All Grades" by default. These criteria cannot be removed but can have new ones added.
- Always finalize your approvers before generating the offer. Changes afterward require a new version to be created and sent.
- Once an offer letter is generated, any changes made to the approval chain will cancel the approval process.
