Connecting Your Calendar
Calendar connection is crucial for Sense Scheduling to function correctly.
Service Account Connection (Admin Preferred Method for O365/Google)
- This method allows customer administrators to sync all their users' calendars simultaneously using a special authentication type.
- It is the preferred method for customers using O365 or Google for their calendaring needs.
- Admins can configure this under "Configurations" then "Calendar Sync," selecting which users should be connected to the Sense calendar.
- Refer to Sense Settings under "Calendar Sync for O365 and Google" for more instructions.
Connecting to the Sense Calendar (Built-in Option)
- Customers who do not use O365 or Google, or prefer not to integrate with their internal calendar platform, can opt to use the Sense Calendar, which is automatically integrated into the Scheduler.
- This eliminates the need for an external connection.
- Users can view scheduled events in a calendar-based format within Sense, click on events to view details, and the host's email is masked from attendees.
- This can be done individually via the "Events" tab or "Settings" tab within Scheduling.
Connecting Your Calendar Individually
- If a calendar is not connected via a service account, each user must individually sync the calendar they wish to tie to Sense Scheduler.
- This is done by clicking the +Add my calendar button.
- The connection options presented are based on the calendar provider with which the user is logged in with.
- Single-sign-on (SSO) is available for both O365 and Gmail calendars.
- By default, the connected calendar becomes the "primary calendar". Any alternative calendars accessible by the primary calendar will also sync, and the primary calendar will determine availability.
- Users with write-access to other calendars can create events for them by adjusting the "Select Calendar" option in the "Other Options" tab.
- Users can also connect a custom email address (one not registered to Sense or an alias) by clicking "Connect custom email address…".
- Only one calendar can be synced at a time; users must choose which account to sync. To change the synced account, it can be done in the Sense Scheduler "Settings Tab - Account Status".
Connecting Your Video Conferencing Tool
- Administrators can integrate their desired conferencing tool with Sense Scheduling, enabling this option for all users.
- The administrator requires administrator permissions within the conferencing tool for this integration to work.
- Supported integrations include Google Meet, Microsoft Teams, and Zoom.
- When a meeting is booked, a unique link is automatically generated for each meeting for these conferencing tools.
- Instructions for setting up Microsoft Teams or Zoom access can be found under "Calendar Sync for Conferencing Tools" in Sense Settings.
