Overview
Chatbots are designed to automate conversation flows for pre-screening, data collection, and more tasks. You can create a new chatbot from scratch or copy an existing chatbot.
Dashboard
The Chatbots dashboard is your central hub for managing all chatbot flows. It includes separate tabs for Chatbot 1.0 and Chatbot 2.0, with Chatbot 2.0 selected by default.
Search and Filters
- Search chatbots by name using the search bar.

Chatbot Table View
The table displays all chatbot flows along with key attributes:
- Name: Bot title as created by the user.
- Entity Type: The primary record type (e.g., Candidate, Submittal).
- Use Case: Indicates the bot's function (e.g., Sourcing, Application).
- Updated: Shows the last modified time.
- Reminders: Indicates whether reminders are enabled (On/Off).

Status: Displays the bot’s current state (e.g., Draft, Ready for use).
- Draft: The chatbot is still being configured. It can’t be built until all validations are met—e.g., the last node can’t be a question without a response.
- Ready for use: The chatbot has been successfully built and is now live. It can be sent to candidates or deployed.
- In use: The chatbot is actively used in an Engage Journey (not applicable for Workflows). The interface allows you to view which journey it's part of.
Actions Menu
For each chatbot, click the three-dot Actions menu to:
- View: Open and review the bot’s flow.
- Copy: Create a duplicate of the existing bot.
- Archive: Remove the bot from active use.
- Review Data: Access chatbot transcripts and logs for the Sourcing chatbot.
Additional Options
- Click Manage FAQ Library to update the shared FAQ content used across bots.
- Use Create New Bot + to start building a new chatbot flow.
Chatbot Status
- Draft Status: When you first create or work on a chatbot flow, it is in the "Draft" state.
- Ready for Use Status: To make the chatbot usable, click Build after you have created a chatbot. Building the flow changes its status from "Draft" to "Ready for use".
