What is the Job Match Module?
As an admin user, you can set up the Job Match module for an email or SMS workflow. When the workflow is executed, the system can find relevant jobs for the candidates and notify them of those jobs.
Email vs. SMS Job Matching: What is the Difference?
Job matching is currently supported for both emails and SMS. While the core part of the setup is the same, the setup flows and display capabilities are slightly different.
Before configuring your workflow, please note these channel differences:
- Maximum Jobs Displayed: In an email, you can show up to 10 matching jobs because you have more space. Maximum jobs are not supported in SMS; only one job per candidate will be sent via SMS.
- Maximum Fields Displayed: For emails, users can select up to 5 fields to display. For SMS, we only support up to 3 fields because you do not want to send too much data in an email or SMS.
- Format: In an email, the matching jobs are displayed as a table.
Step 1: Add the Job Match Module
The flow for setting it up in email and SMS is slightly different.
For an SMS Workflow:
- Add an SMS node.
- In the SMS node, add the module called Job Match.
For an Email Workflow:
- Go to the designer of the email.
- Set up the job match block in the email section.
- Add the job match module over here.
- Choose the option to configure the job match.
Step 2: Configure Matching Rules
You must set up matching rules to determine which jobs are selected for a candidate. Unless the user sets up matching rules for the node, they shouldn’t proceed to the next step.
Default Rules:
The following filters should be the default rule:
- Job Title = Candidate Title
- Job Zip to Candidate Zip
- Max Distance = 50 miles
If these fields are not available, the system will show that no default rules are set.
Customizing Rules: Admin users can customize these default rules. On the UI, the left-hand side is the job attribute, and the right-hand side is the candidate attribute. Any field that a customer has will be displayed.
You can select the following indexed fields to create a matching rule:
- Group 1 - Qualification: Title, Skills, Keywords, Discipline, Speciality, Certifications.
- Group 2 - Location: Zip, City, State, Country.
- Distance: This field is enabled/usable if Zip or City is being used. The user can enter any number between 1 to 100. The default value is 25.
- Distance Unit: This field is enabled/usable if Distance is being used. The user can select Mile or Kilometre.
- Group 3 - Preferences: Worksite, Minimum Pay, Minimum Contract Duration, Shifts.
- Group 4 - Custom Fields: This should show any additional custom fields that are indexed specific to an agency so that they can create matching rules on this.
Step 3: Configure Display Options
Next, you can decide how many results you want to show, and what fields you want to use.
- Sorting: We will not support sorting. The system will intelligently sort and show the relevant jobs at the top.
- Fields to Show: The user can select up to five fields to display (up to 3 for SMS).
The following fields will be supported:
- Job Title w/o Link
- Job Title with Link
- Zip, City, State, Country
- Pay Rate, Contract Duration, Shift
- Discipline, Speciality, Certification
Step 4: Enable Source Tracking
What is it? Source tracking allows admin users to track the source of the applicants, and be able to attribute those applicants to Sense, specific workflows and nodes.
How to set it up: The user can enable this when setting up a job match module. When this is enabled, the apply URLs will be appended with the workflow ID and the node ID as query params.
Step 5: Preview Matching Jobs and Test
What is it? Admin users can preview the matching jobs for a given candidate so that they can gain confidence in the kind of jobs that will be displayed or sent to the candidates.
How to preview:
- Select a candidate to search. You should see a unique identifier of the candidate to differentiate between two records with the same name.
- The matching jobs would show up here. The system will display the matching jobs based on the matching rules set up in the node.
- The preview will show the apply URL, the job title, and the job ID (ATS ID).
- When the user clicks the job, it should open the apply URL page in a separate tab.
- You can test it and then you save it. For an email, you can do a test send to see if this is working for you.
