Candidate Experience Survey (CES)
There are two configuration levels:
- Global Level – This can be configured from Settings > Job Setup - Candidate Experience Survey
- Job Level – This can be configured from the Job's About tab > Candidate Experience Survey
Global Level CES
Configuring Candidate Experience Survey mail
Follow the instructions given below to configure CES mail:
- Enable CES – Toggle ON to activate CES for all jobs.
- Set Trigger Timing – Define the number of days after which the CES mail will be sent.
- Survey Form – Configure the CES feedback survey questions.
- Email Configuration – Set up the CES mail in the Email section.
- Select Milestone – Choose the milestone at which the CES mail should be triggered for candidates who are Hired or Rejected.
When will the CES Mail be sent to the candidate?
CES feedback mail will be sent to candidates who reached to selected milestone and should be Hired or Rejected.
Configuration for Rejected Case
In email automation, the candidate rejection reason should be configured, and the survey option should be enabled.
The CES survey will be sent to candidates who are rejected for a specified reason and have the survey option enabled.
Job Level CES
Toggle ON/OFF to enable or disable CES at job level.
Select the threshold stage after which the CES should be triggered. The job-level threshold takes precedence over the global threshold milestone.
Hiring Manager Experience Survey (HMES)
The Hiring Manager Experience Survey (HMES) email is triggered based on specific conditions during the recruitment process. Firstly, the hiring manager must be assigned to the job by adding them to the job’s hiring team. This ensures that the appropriate person responsible for the hiring process is linked to the position.
Secondly, at least one interview must be scheduled for a candidate. The survey is designed to collect feedback from the hiring manager. The Hiring Manager must be added to the hiring team, and the interview should be scheduled. Once the job closes, the Hiring Manager will receive a survey email.
Lastly, the job must close automatically once all open positions have been filled. This automatic closure signals the completion of the recruitment process and triggers the HMES email. However, if the job is closed manually using the three-dot menu, the HMES email will not be triggered. This exception ensures that only jobs that follow the complete hiring cycle automatically prompt feedback collection.
Here are the steps to use the Hiring Manager Experience Survey feature:
- Toggle the button ON to activate the hiring manager experience survey.
- This ensures that the survey will be sent after a scheduled interview is completed and the job is marked as Closed.
- Select the number of days after which the form should be sent.
- Click on the pencil/ edit icon next to "0 Days" to modify the delay.
- Click on the Survey Form tab (selected by default).
- Review and modify the existing questions in the Hiring Manager Experience Survey section.
- Click on Add Question to insert a new question.
- Click on the Preview Form to review how the survey will appear to the hiring manager.
