If you manage multiple brands or update brand details often, keeping information like your website, phone number, or social links consistent across every email can be time-consuming. When you add that information to hundreds of emails individually, it's easy for inconsistent or outdated details to reach recipients. With centrally managed brand properties, you define brand information once and reuse it across your email templates and workflow emails — instead of updating it in every email individually.
When should I use centrally managed brand information?
This is particularly useful when:
- You manage multiple brands from the same agency.
- Brand information changes frequently.
- The same brand information is used across many email templates and workflows.
- You want to keep branding consistent across communications.
- You need to update information across a large number of emails without editing each one manually.
Example: If an agency manages 10 brands and each brand is used across hundreds of workflow emails, changing a company's website no longer requires updating every email individually.
What brand information can I manage centrally?
You can configure the following at the brand level:
- Logo
- Agency address
- Company website
- Company information
- Custom URL
- Phone number
- Button color
- Social media links:
These values can then be used dynamically in email templates and emails.
How it works
Adding brand information to an email
When building an email or template in Beefree, you can add relevant brand information using Brand Add-ons — for example, social media links that display the selected brand's profiles, a button that uses the selected brand's configured color, or other supported brand properties wherever they're needed in the email. You can add the same Brand Add-on multiple times within an email or template.
Example: If a brand's LinkedIn and Instagram pages are frequently included in recruiting communications, add the Social Media Brand Add-on to the template instead of entering those URLs manually. The email uses the social links configured for the selected brand, and if a URL changes later, you update it once in Brand Configuration rather than editing every email.
Using one template across multiple brands
Templates can be reused across brands because brand information is associated with the selected brand rather than hard-coded into the template.
A typical workflow is:
- Create a reusable template using Brand Add-ons.
- Save the template.
- Use the template to create emails for different brands.
- Select the appropriate brand for each email.
- The Brand Add-ons use the values configured for that brand.
Example: An agency manages three staffing brands and wants to use the same candidate outreach template for all three. Instead of creating three separate versions, it creates one template, adds the required Brand Add-ons, and selects the relevant brand when creating each email. Each brand's website, social links, contact information, and other configured properties are used automatically — reducing duplicate templates and keeping the email structure consistent across brands.
Updating a brand
Brand information is centrally managed, so changes to a brand are automatically reflected in emails that use it. This includes emails in workflows that were built before the brand was updated, whether those workflows are active or inactive. For an active workflow, recipients who have not yet received the email will receive it with the updated brand information.
Example: If a brand changes its website from oldwebsite.com to newwebsite.com, you update the website once in Brand Configuration, and the change is automatically reflected in emails using that brand — you don't need to find and update every email that contains it.
Note: For performance reasons, brand property changes may take up to 20 minutes to propagate across emails.
Updating a template
Updating a template is different from updating brand information: it does not update emails that were already created from that template. If you change a template's content or layout, existing workflows built from that template aren't automatically changed, whether they're active or inactive. Brand properties, however, remain centrally managed and continue to propagate to emails using that brand.
Deleting a brand
If a brand is deleted, emails using that brand automatically fall back to the default brand values. This prevents emails from being left without the required brand information.

Use Brand Add-ons for information that's likely to change or needs to stay consistent across communications, such as websites, phone numbers, social media links, and addresses.
Avoid hard-coding reusable brand information
If the same brand information appears across many emails, configure it at the brand level instead of entering it manually into each email. This makes future updates easier and reduces the risk of outdated information remaining in individual emails.
Build reusable templates
When managing multiple brands, create templates using Brand Add-ons rather than building separate templates for each brand. This lets one template support multiple brands while keeping brand-specific information dynamic.
Remember the difference between templates and brands
Use template updates when you want to change the structure or content of a template. Use Brand Configuration when you want to update shared brand information across emails that use that brand.
