When a candidate moves to the Interview stage, and you've configured at least one interview in the Hiring Plan, Sense CRM enables you to schedule interviews efficiently—either manually or through the chatbot.
Accessing Interview Scheduling
To access interview scheduling, navigate to the All Jobs > click on the job > Applicants > click the candidate you want to schedule an interview with > Schedule Interview.
Scheduling Options
You’ll see two options for scheduling:
Schedule Manually
Choose this if you want to schedule the interview yourself.
Steps:
- Fill in the required interview details.
- Select a Meeting Mode (In-person, Zoom, Google Meet, or Microsoft Teams). You’ll be prompted to sign in to Google or Microsoft the first time you use an online meeting mode.
- Configure the Candidate Confirmation Email:
- Review the pre-filled content.
- Ensure the conference link placeholder is added.
- Add job and organization details using the provided checkboxes.
- Attach any relevant documents, if needed.
Once the interview is scheduled, the details will appear as shown below:
Reschedule Interview
You can click on the Reschedule button to reschedule the interview.
Cancel Interview
You can cancel a scheduled interview using the candidate's profile. Choose a reason for cancellation from the dropdown menu.
Schedule Using Chatbot
Choose this to let Sense CRM’s chatbot coordinate the interview with both interviewers and the candidate.
- Select Interviewers from the dropdown.
- Choose whether all interviewers or any one needs to attend.
- Select a Meeting Mode.
- Set a date or date range for when the interview should occur.
- Choose the Time Zone and set the Interview Duration.
- Click Schedule Interview.
Once the interview is scheduled, it’ll appear as shown below:
Clicking View Details opens a side panel with detailed information. You can edit these details by clicking the Edit Details button on the side panel.

The three-dot menu allows you to Add additional round and Override feedback.

Interviewer View: Scheduled Interview Details
Once scheduled, interviewers are notified via email:
- The interview time is blocked on their calendar.
- The email contains a Submit Feedback link to access the feedback form.
- Job and candidate details are accessible via respective tabs.
Candidate Availability (Chatbot)
After an interviewer confirms the interview:
- The candidate receives an email with a CTA to confirm availability.
- Clicking the CTA opens the interview chatbot.
- The candidate can:
- View interviewer availability.
- Confirm their availability.
- Click I need help to decline, request a different date, or mark unavailability.
