The Bulk Actions feature allows recruiters to perform communication actions on multiple candidates simultaneously, eliminating the need to contact candidates one at a time.
Bulk Actions can be used across candidate stages within a job pipeline and support outreach through SMS, WhatsApp, Email, Voice Calls, and Chatbots.
Selecting Candidates for Bulk Actions
Before performing a bulk action, you must first select the candidates you want to target.
To select candidates:
- Select Job for the Job list panel
- Navigate to the desired candidate stage.
- Select individual candidates using the checkbox displayed on each candidate card.
Alternatively, you can select all candidates currently displayed in the stage by clicking Select All at the top of the candidate list.
Once one or more candidates are selected, the Bulk Actions menu becomes available.
Selecting All Candidates in a Stage
When Select All is clicked, Recruiter Hub selects all candidates available within the current stage.
A confirmation banner appears indicating the number of candidates selected from that stage.
For example:
"All 120 candidates are selected from Matches Stage"
At this point, any bulk action performed will apply only to candidates within the selected stage.
To remove the selection, click Clear selection.
Available Bulk Actions
Recruiter Hub allows recruiters to perform actions on multiple candidates at the same time using the Bulk Actions menu.
To access bulk actions:
- Select one or more candidates using the checkboxes available on the candidate cards.
- Click Bulk Actions.
- Choose the action you want to perform on the selected candidates.
The following bulk actions are available:
- Initiate SMS/Whatsapp - Select Initiate SMS/Whatsapp to send an SMS or WhatsApp communication to the selected candidates.
- Initiate Email - Select Initiate Email to send an email communication to the selected candidates.
- Initiate voice call - Select Initiate voice call to initiate a voice call action for the selected candidates.
- Initiate chatbot - Select Initiate chatbot to launch a chatbot interaction for the selected candidates.
Initiate SMS/Whatsapp
The Initiate SMS/Whatsapp action allows recruiters to send a message to all selected candidates.
After selecting Initiate SMS/Whatsapp from the Bulk Actions menu:
- Select the From phone number that should be used for the communication.
- Enter the message content in the message editor.
- Optionally configure ATS Note Writeback - Message Sent by:
- Enabling or disabling the writeback option.
- Selecting an Entity.
- Selecting an Action.
- Review the character count displayed below the message editor.
- Click Send to send the message to the selected candidates.
- Use Cancel to close the communication window without sending the message.
Send Email to Candidates
The Initiate Email bulk action opens the Send Email to candidates window, allowing recruiters to email multiple selected candidates at once.
To send an email:
- Select the sender email address in the From field.
- Specify the Sender Name.
- Enter a value in the Subject field.
- Optionally select a template from the Use template dropdown.
- Enter the email content in the Body section.
- Optionally configure ATS Note Writeback by:
- Enabling or disabling the writeback option.
- Selecting an Entity.
- Selecting an Action.
- Click Send to immediately send the email.
Depending on your configuration, you may also see a Send Later option that allows the email to be scheduled for a future time.
Use Cancel to discard the email and close the window.
Initiate Voice Call
The Initiate voice call bulk action allows recruiters to start a Voice AI interaction for the selected candidates.
To configure a voice call:
- Select the From phone number.
- Choose a Voice Agent from the Select Voice Agent dropdown.
- Use the search box to locate a specific Voice Agent if needed.
- Click Initiate Call to start the voice call process.
Testing a Voice Agent
Before launching calls to candidates, recruiters can validate the Voice Agent configuration using Test Call.
To perform a test call:
- Configure the From phone number and Voice Agent.
- Click Test Call.
- In the Test Call window, click Start call to begin the test interaction.
This allows recruiters to review the Voice Agent experience before initiating calls to candidates.
Reviewing Test Call Results
After a test call is completed, a Test Call Summary is displayed.
The summary may include:
- Evaluation – AI-generated evaluation of the interaction.
- Call Recording – Playback controls and download option for the recorded call.
- Transcript – Conversation transcript with download functionality.
Recruiters can use this information to validate Voice Agent behavior and make adjustments before initiating candidate calls.
Initiate Chatbot
Select Initiate chatbot from the Bulk Actions menu to launch a chatbot interaction for the selected candidates.
After selecting the chatbot action, follow the on-screen prompts to configure and initiate the chatbot communication.
The chatbot interaction will be initiated for all selected candidates.
This level of detail stays aligned with what is actually visible in the screenshots and avoids assuming undocumented behavior.
Best Practices
- Verify candidate selection before initiating a bulk action.
- Review whether candidates are selected from a single stage or from all stages.
- Use Clear selection if you need to restart the selection process.
- Choose the communication channel that best aligns with your recruiting objective.
- Ensure the message content is appropriate for all selected recipients before launching a bulk action.
Bulk Actions help recruiters efficiently engage large groups of candidates while maintaining consistency across recruiting communications.
