What is an AI Recruiter?
AI Recruiter (AIR) is a comprehensive, end-to-end digital recruiting assistant. It introduces an intelligent, agent-based framework that brings together Sense's existing automation products—such as Discover, Voice AI, Workflows, and Analytics—into a single, unified pipeline.
Why does it exist?
Historically, recruiters and operations teams had to manually stitch together separate automation tools, configure complex multi-stage workflows, and interpret disconnected analytics to achieve their hiring goals. This traditional process could take weeks to implement and was heavily dependent on operations teams. AI Recruiter exists to collapse this setup time from weeks to minutes, allowing you to deploy an intelligent agent that autonomously handles sourcing, screening, and evaluations without needing complex workflow builders.

Prerequisites
Before configuring AI Recruiter, System Administrators must ensure the following are prepared in your Sense account:
- Mandatory Lists:
- Active Jobs List: An automated feed or list of open jobs.
- Active Candidates List: A list of available candidates in your database.
- Submission List: A list tracking your submittal entity; AI Recruiter cannot operate without this as it anchors your funnel tracking.
- Optional Lists:
- Interview List: (Note: This is tracked as a stage filter on the Submission list, not a separate entity).
- Placement List: A list tracking placement entities.
- Conditional Mappings: Entity-Attribute-Data (EAD) mappings must be completed, such as mapping your ATS "Title" field so the AI can read job and candidate titles accurately.
- System Dependencies: Sense Discover (for matching) and Voice AI (for screening calls) must be enabled on your account.
How Does It Work?
AI Recruiter operates using an intelligent, Block-Based Architecture. Instead of relying on rigid, traditional workflow stages that require you to build complex rules for every possible scenario, the AI utilizes three distinct, sequential blocks. Each block performs a specific set of tasks, takes a clear input, and produces an outcome that cues the next block.
This streamlined approach ensures candidates are engaged quickly, evaluated accurately, and never spammed with overlapping messages.
Here is how candidates flow through the three core blocks:
1. Sourcing Block
The Sourcing Block serves as the entry point into the AI Recruiter pipeline. Its primary job is to identify and validate candidates who should be engaged for an open role.
What it does: Depending on your recruiting needs, candidates enter the Sourcing Block in one of two ways:
- Proactive Matching (Outbound): For newly opened jobs, the AI continuously scans your active database to find and rank the best-matched candidates.
- New Applications (Inbound): When a candidate voluntarily applies for a job, the system ingests their application and automatically performs a resume evaluation, generating a score based on how well their resume aligns with the job description.
The Output: The Sourcing Block identifies a validated pool of matched or inbound candidates and feeds them directly into the Screening Block.
2. Screening Block
The Screening Block is the shared, intelligent engine of AI Recruiter. Once a candidate enters this block, the AI autonomously manages the entire outreach and qualification sequence without requiring recruiter intervention.
What it does: The AI executes a multi-channel engagement sequence to qualify the candidate's interest and availability.
- The Sequence: The AI initiates outreach via Email and SMS, waits for a programmed delay, conducts a Voice AI or Chatbot screening, and then processes the conversation to generate an Evaluation Score and summary.
- Smart Traffic Control: To protect the candidate experience, the Screening Block uses a global contact history to enforce "cool-off" rules. For example, if a candidate was just screened for one job, the AI might enforce a 48-hour waiting period before calling them about a second job, preventing spam. It also prioritizes inbound applicants over outbound matches if a candidate is flagged for multiple paths.
The Output: The Screening Block produces a fully scored, evaluated candidate profile ready for recruiter review.
3. Action Block
The Action Block handles the final handoff between the AI Recruiter and your human recruiting team. It takes the evaluated candidate and ensures they are surfaced to the right people in your Applicant Tracking System (ATS).
What it does: Once the screening is complete and the candidate passes your minimum quality threshold, the Action Block triggers the final wrap-up steps.
- The Sequence: The AI informs the assigned recruiter that a candidate is qualified, updates the candidate's record, writes the evaluation summary and score back to your ATS, and formally ends the AI workflow.
The Output: A "Submission-Ready" candidate is placed directly onto the recruiter's dashboard, ready to be submitted to the client or hiring manager.
Example Use Case: The Block Architecture in Action
Scenario: You have a new, urgent opening for an ICU Nurse.
- Sourcing Block: You activate AI Recruiter for the ICU Nurse job. The AI scans your database and finds 50 candidates who match the skills and location.
- Screening Block: The AI sends an introductory SMS to these 50 candidates, followed by an automated Voice call to the 20 who respond. During the call, the AI confirms their active nursing licenses and shift availability, grading the conversation to create an evaluation summary. It automatically skips calling one candidate who is already being screened for a different nursing role.
- Action Block: 8 candidates pass the screening with high evaluation scores. The AI writes these scores into your ATS, sends you a notification, and places the 8 "Submission-Ready" candidates on your dashboard so you can submit them to the hospital.
