Creating an Active Jobs List from Scratch

Overview

The Active Jobs list is used by AI Recruiter to identify which jobs should be included in candidate matching and sourcing activities.

When creating an Active Jobs list from scratch, you define the criteria that determine which jobs are considered active, configure the job application URL structure, preview the jobs that meet the criteria, and start the synchronization process.

Creating an accurate Active Jobs list ensures that AI Recruiter only matches candidates against relevant and active job openings.

Before You Begin

Before creating an Active Jobs list, ensure that:

• Job data is being synced into Sense from your ATS.
• Required job fields are available and mapped.
• You know which job attributes should be used to identify active jobs.

Create an Active Jobs List

1. Navigate to Automation > AI Recruiter.
2. In the AI Recruiter setup flow, select Active Jobs.
3. Click Create from scratch.

The Setup Sourcing List wizard opens.

Step 1: Configure Job List Details

In the Job List Details section:

1. Enter a List Name.
2. The Focus Entity is selected by default and is locked.

The list name should clearly identify the purpose of the job list, such as:

• Active Jobs
• Open Positions
• Current Requisitions

Click Next to continue.

Step 2: Define Active Job Rules

The Rules section determines which jobs will be included in the list.

Add Rule Conditions

1. Select the Job attribute you want to evaluate.
2. Choose an operator.
3. Specify a value.

Example:

This rule includes only jobs added after the specified date.

Build Complex Logic

You can create more advanced criteria using:

• AND conditions
• OR conditions
• Include logic
• Exclude logic

This allows you to target only the jobs that should participate in AI Recruiter matching.

Search Within Rules

Use the search option in the Rules Details section to quickly locate values or conditions within large rule sets.

Click Next after reviewing your rules.

Step 3: Configure the Job Application URL

The Job Application URL allows AI Recruiter to generate direct application links for jobs.

Define the Base URL

Enter the base URL used for your organization's job postings.

Example:

https://example.com/jobs/id

Add Job Variables

You can build dynamic URLs using job attributes such as:

• Job ID
• Job Title
• Job Location
• Job State
• Job Country

Select the required variables and add them to the URL structure.

https://company.com/123456789/Production-Line-Associates

The preview updates automatically to show how generated job URLs will appear.

Click Next to continue.

Step 4: Preview the Jobs

The Jobs Preview page displays all jobs that satisfy the rules you configured.

The preview includes:

• Total number of matching jobs
• Search functionality
• Job details table
• Generated Job Application URLs

You can:

• Search for specific jobs
• Review generated URLs
• Validate that the correct jobs are included in the list
• Export the previewed jobs if needed

Carefully review the results before starting the synchronization process.

Step 5: Start the Sync

Once the preview has been validated:

1. Click Start Sync.

The system begins building the Active Jobs list using the configured rules.

A synchronization status indicator displays progress while jobs are being processed.

When synchronization is complete, a confirmation message is displayed indicating that the Active Jobs list has been created successfully.

During setup, you may see one of the following statuses:

What Happens Next?

After the Active Jobs list is successfully created:

• AI Recruiter can use these jobs for candidate matching.
• The list becomes available as part of the AI Recruiter setup process.
• You can proceed to configure the next setup step, such as Active Candidates.

The Active Jobs list serves as the foundation for identifying which jobs AI Recruiter should use when sourcing and matching candidates.
