The TRM platform allows users, primarily recruiters, to fill out internal forms directly within the platform's UI.
The new functionality introduces a "Fill Form" button directly within the platform UI. When a user clicks this button, a UI pop-up appears, allowing them to fill in the internal form fields and submit the required data without leaving the TRM interface.
This eliminates the requirement to send the form via email to an internal stakeholder, such as a hiring manager or even the recruiter themselves, and complete it externally by clicking on an email link.
When a form is submitted, the user sees a "Form submitted successfully" confirmation message.
The following details will also be captured and displayed on the candidate's card:
- Submitted by: Identifies who submitted the form.
- Submitted information: Includes all responses captured through the form.
Prerequisite
The specific internal form must be configured in the Hiring Plan for the relevant round so that the system knows which form to send and where to redirect the user. This configuration establishes the link between the hiring plan round and the required form.
Interaction with Mandatory Rounds
TRM includes a mandatory round functionality. If a stage in the hiring process is marked as mandatory, a candidate cannot be moved forward until all required rounds for that stage are completed.
When the form is filled via the UI in a mandatory stage, the task is considered completed. Upon successful submission, the system allows the user to move the candidate forward in the hiring process without restrictions. This behavior aligns with filling the form via the email link.
Error Handling
- If an internal form is not configured in the hiring plan when the "Fill Form" button is clicked, an error message, Form not configured. Please check the hiring plan is displayed.
- If mandatory fields are left blank when submitting the form, an error message, Please fill all required fields before submitting is shown, and submission is blocked.
- In case of a network or system error during submission, the system displays Unable to submit, please try again. The UI pop-up window remains open, retaining the data that was filled.
- If a user attempts to move a candidate forward from a mandatory stage before the internal form has been submitted, the movement is blocked, and the existing error message for mandatory stages is displayed upon hovering over the option.
