Overview
Before you can view dashboard data, you must complete the required setup. This includes mapping the necessary ATS fields, defining how each metric is tracked, and configuring attribution conditions that determine when Sense receives credit for an outcome.
Once setup is complete, Sense processes your data and displays the results in the dashboard, where you can analyze key metrics and drill down into the records and activities behind them.
Before You Start
Confirm the following before setting up the ROI dashboard:
- Access enabled for your agency. Talent Engagement ROI is rolling out in phases (larger accounts first). If you don't see it under Analytics & Data > Pre-built Dashboards, contact your Sense representative.
- ATS integration connected. ROI attribution works by matching Sense activity to records in your applicant tracking system (ATS) — placements, job submissions, jobs, and client company employees. Your ATS data integration must already be set up.
- Admin permissions. Completing the setup checklist (field mapping, metric rules, and attribution conditions) requires an Admin-level role. See Permissions below.
If you already use other Sense products, AI Recruiter or Voice, for example, some of the required field mapping may already be in place, which shortens setup.
Permissions
ROI dashboards are non-editable and non-deletable. They are managed and maintained by the Analytics Engineering team.
Setting Up Your ROI Dashboard
The first time you open Talent Engagement ROI, you'll see an introductory screen instead of live data. Select See Dashboard Example to preview what a completed dashboard looks like, or Get Started to begin setup.
Setup happens in three steps:
1. ATS Field Mapping
Map 13 fields total across four record types to the fields Sense uses for ROI reporting:
- Placements (7 fields) — for example, Candidate ID, Placement Start Date, Placement End Date, Hourly Bill Rate, Hourly Pay Rate, and Job Submission ID.
- Job Submission (3 fields)
- Job (2 fields)
- Client Company Employee (1 field)
Select Start next to each record type and match each Sense field to the corresponding field from your ATS. If a field is already mapped (because you use another Sense product that relies on it), that field won't need to be redone; the checklist reflects what's already in place.
However, you can click View to see the already mapped fields, or click Continue to resume from where you last left.
2. Metric Tracking Rules
This section consists of five entities: Sense Influenced Placements, Applicants, Submissions, Job Orders, and Time Saved.
Click Create and define what counts as that record type for your organization (this uses the same condition-based list builder as Sense's other list features). Once each list is set, click Next to continue.
3. Attribution Conditions
For each entity, review the events that always attribute (fixed), choose which optional events should also count, set your lookback period, and choose your attribution date basis.
For each entity, review the events that are always included in attribution and select any optional events you want to include.
Then, set the lookback period and choose the date to use for attribution. Select Confirm & Save.
Important Note: Saving locks that entity's attribution conditions for 90 days. Show Dashboard only appears once every step, for every entity, is complete.
Sense keeps this strict so you never see partially populated or misleading numbers. Once it appears, select it to view your dashboard.
Expected Result
Setup doesn't populate the dashboard instantly. After you save, a backend attribution engine reprocesses your data. For example, for a mid-sized agency (a few hundred thousand records), this typically takes around 3 hours; larger agencies may take longer.
Important Notes and Limitations
- Metrics won't populate until ATS Field Mapping, Metric Tracking Rules, and Attribution Conditions are complete for every entity.
- After any setup change, allow up to a few hours for the dashboard to refresh — check the last-refreshed timestamp.
- Attribution conditions lock for 90 days after each save, per entity.
FAQs
What does "Sense-influenced" mean? A placement, submission, or job order counts as Sense-influenced when it happens within the lookback period after a qualifying Sense engagement event, such as a chatbot conversation or voice call with a candidate.
Why does attribution date matter? Because it changes which activity counts. If your ATS entry date and a placement's actual start date differ, choosing "date added to your list" versus the record's own start date can shift which events fall inside your lookback window.
Can I change my attribution rules after saving them? Yes, but each entity's attribution conditions lock for 90 days after saving.
Why isn't my dashboard updating right after I finish setup? Data refreshes on a delay — typically a few hours, longer for larger data volumes. Check the last-refreshed timestamp before assuming something's wrong.
Who can set up the ROI dashboard? Admins, or any role granted Create/edit permission under Scout.
Is this available for corporate (direct-employer) customers? Not yet — this dashboard currently covers staffing agency terminology and metrics only.
Troubleshooting
Dashboard shows "N/A," "0," or looks incomplete. Confirm all three checklist steps are complete for every entity. If they are, check the last-refreshed timestamp — it may just be mid-refresh.
A specific number looks wrong. Use that metric's drill-down view to see exactly which events Sense credited, on which date, and through which workflow, before assuming it's an error.
I can't see the setup checklist or any Create/Edit options. Your role likely has view-only access. Ask your Sense Admin to update your Scout role permission under Configuration > Accounts > Roles.
I don't see Talent Engagement ROI at all. It's rolling out in phases and may not have reached your agency yet — check with your Sense representative.
