This article covers the following topics:
★ Overview
The Candidate Creation feature automatically creates or updates the candidate's profiles which are sourced through the Sourcing Chatbot into your Applicant Tracking System (ATS). This feature helps you to write-back the candidate's details, such as the candidate's Name, Email ID, Phone Number, etc. into your Applicant Tracking System (ATS).
★ How the Candidate Creation Works
Candidate sourced via Sourcing Chatbot can be either a New Candidate or a Duplicate Candidate:
[A] New candidate (Object Writeback)
- The system will create a new candidate record when the candidate's email address is not found in the ATS.
- When a new candidate is sourced, the system will automatically write-back this information as a New Object to your ATS using Object Writeback.
[B] Duplicate candidate (Field Writeback)
- The system will update the candidate record when a duplicate email address is found in the ATS.
- If there’s a duplicate candidate found (based on the email address as the search key), the system will automatically update the oldest record of the candidate with the latest candidate information. The system will use Field Writeback to perform these updates.
NOTE: You can view or download the responses/data of the sourcing chatbot in the “DATA REVIEW” page from the conversations tab.

[A] How to enable a Candidate Creation feature at the Conversation Flow Level:
- The Candidate Creation feature helps you to write-back the candidate's details such as the Candidate's Name, Email ID, Phone Number, etc. into your Applicant Tracking System (ATS).
- To write-back these details into your ATS, it is recommended to fill in the "Writeback ATS field" in the question node while creating the conversation flow.
Follow the below-mentioned steps to add “Writeback ATS Field” to your conversation flows:
[1] Navigate to Conversations.
[2] Create a new conversation workflow or open the existing one where you wish to write-back the candidate’s information.
[3] It is mandatory to fill in the correct “Writeback ATS Field” to write-back any details, such as the Candidate’s Name, Email ID, and Phone Number into your ATS.
For Example:
- Name Question Node
- Phone Number Question Node
[4] The Candidate Creation feature checks the candidate's duplicity based on the Candidate’s Email Address. Hence it is mandatory to add an Email Validating Question Node.
- Email ID Question Node
NOTE: Each ATS has a certain set of fields required to create a new record, such as email address, first name, last name, etc. If you don’t add all these mandatory fields needed to create a new record, the system will show an appropriate error message, and you will not be able to build the flow. Candidate duplicity check, however, will only be based on the email address.
Example:
★ Key Factors
- The system will check the candidate's duplicity based on the email address.
- The system will create a new candidate record when the candidate's email address is not found in the ATS and the fields required to create a new record are captured.
- The system will update the candidate record when a duplicate email address is found in the ATS.
- When the conversation is completed, the system will write the chat transcript in the note writeback.
